Summary

The Resources Coordinator works as part of a national Research and Knowledge Services team, organizing materials, maintaining subscriptions, and facilitating access to services for the Firm’s legal professionals reporting to the Electronic Resources Manager. This role is responsible for coordinating the purchasing and renewal of electronic and print resources, processing invoices and billing data, maintaining accurate resource records, and supporting user access and onboarding. The Resources Coordinator helps ensure the firm’s attorneys and staff have timely, cost-effective access to research tools and subscription services necessary to support client work.

Responsibilities

Responsibilities:

  • Establish and maintain effective vendor relationships and collaborate with vendors to rectify billing discrepancies and service issues.
  • Research and purchase approved resources; process and distribute resources through the Department’s Online Resources platform and other appropriate channels.
  • Process invoices and allocate client-matter charges in the Firm’s expense management system.
  • Extract billing data from third-party platforms for upload into the Firm’s expense management system.
  • Conduct resource audits under the advisement of the Electronic Resources Manager; recording data and maintaining records in the Firm’s document management system,  iManage.
  • Create and maintain records and process new materials in the Department’s Online Resources platform.
  • Assisting with onboarding and resource assignments for new attorneys and business professionals, as well as offboarding for departing personnel.
  • Train attorneys and business professionals in how to effectively use the Department’s Online Resources platform.
  • Manage routing lists for digital newsletters, journals, desk books, and office copies to ensure timely delivery of current awareness materials and updated primary and secondary  sources.
  • Communicate with attorneys to confirm ongoing continued interest in specific subscriptions and desk books.
  • Utilizes Research Monitor data to assist in evaluating usage for and renewal decisions.
  • Perform other duties as assigned.
 

Qualifications

Education Required:

  • Bachelor’s degree from an accredited institution.
  • Master’s degree in Library or Information Science (MLIS) or substantial progress toward degree is desirable.
Experience Required:
  • Minimum of two years of experience providing subscriptions and/or resources management, preferably in a law firm or professional services environment. 
Skills Required:
  • Knowledge of legal and business resources, including print and electronic resources. is desirable.
  • Experience with Chrome River or an equivalent expense management system.
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
  • Strong organizational skills and ability to manipulate Excel and csv files.
  • Good analytical skills and an aptitude for working with data and numbers.
  • Ability to manage multiple priorities and work both independently and collaboratively.
  • Effective written and oral communication skills.
  • Strong customer service orientation.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

 

The expected salary range for this position ranges from $62,000 - $80,000. It is not typical for offers to be made at or near the top of the range. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered. In addition to the base salary and a generous employee benefits package, successful candidates are eligible to receive a discretionary bonus.

Pay Range

USD $62,000.00 - USD $80,000.00 /Yr.
